Party Food Refill Tracker
Use the tracker to decide what goes out first, what stays in backup, when to check it, and what condition actually triggers a refill. During the party, record what was used. The point is to keep perishable, hot, crisp, or high-demand food in manageable waves instead of exposing the whole quantity at once.
Plan the first wave and backup together
Write both amounts before service so “backup” does not become an unplanned extra batch.
Use a trigger, not constant checking
The refill trigger can be a time, a low level, an empty vessel, or a change in guest flow. It should tell the owner when action is useful.
Record actual use
The last column turns the sheet into feedback for the next event. It is more valuable than guessing again from memory.

Should every food be refilled?
No. Track only items where waves improve quality, holding, or service.
What should I put in “Check at”?
Use a practical review time or event anchor, such as 30 minutes after first food or halftime.
Is this a food-safety timer?
No. Follow appropriate food-safety guidance separately. This sheet organizes service and refill decisions.
