Party Helper Delegation Sheet
Give each helper a complete handoff: the task or outcome, the owner, where it happens, when or what triggers it, and what “done” looks like. That structure prevents delegation from becoming a stream of follow-up questions back to the host. It works best when supplies are already staged and each helper can complete the row without returning to the host for another decision.
Delegate outcomes, not vague help
Write “keep water and cups available at drink station” instead of “help with drinks.” A specific outcome is easier to own.
Add the trigger and location
A helper should know where to act and when the job starts without waiting for the host to notice the problem first.
Define the stop condition
“Done looks like” prevents over-working a task and makes it clear when the helper can return to being a guest.

Give helpers clear guest-facing jobs, handoff times, locations, and stop conditions so delegation removes pressure instead of creating questions.

What tasks are best to delegate?
Guest-facing resets, drinks, entry, simple refills, trash passes, and clearly staged handoffs work well when supplies and rules are obvious.
What should stay with the host or cook?
Do not blindly delegate recipe-safety changes, unknown allergy decisions, or tasks that require information the helper does not have.
How many helpers can I use?
Use as many rows as you need, but fewer clear jobs are usually better than giving everyone a vague responsibility.
