New Year’s Eve Countdown Run Sheet
Protect the fixed midnight moment by finishing major kitchen work, water, toast setup, and screen or clock checks before the final ten minutes. Fill in the top fields for “Party start”, “Midnight clock source”, “Toast setup”, and “Late refill time”, then use the 2-page timeline to work through the “Early Evening”, “11:30”, “11:50”, and “After Midnight” blocks in order. Keep it beside the day-of plan so a delayed task can be moved, delegated, or dropped without rewriting the entire event.
Anchor the fixed times first
Fill in “Party start”, “Midnight clock source”, “Toast setup”, and “Late refill time” before you assign tasks. Those anchors make it obvious which jobs can move and which ones cannot.
Move from Early Evening to 11:30
The “Early Evening” block covers “Substantial food available”, “Drinks / water self-serve”, and “Coats + bathroom working”. Then use “11:30” for “Finish major refill”, “Clear obvious trash”, and “Set toast supplies”. Keep recipe-specific times and temperatures unchanged even if the written schedule slips.
Use After Midnight as the final control block
Before the event moves into its next phase, scan “One light snack refill if planned”, “Collect empties”, and “Keep exit / rides safe”. Cross out optional work that no longer fits instead of creating a second last-minute plan.

What should I fill in first?
Start with the “Party start” and “Midnight clock source” fields. Then move into “Early Evening” so every later task is anchored to the event clock you are actually using.
What if the schedule slips?
Keep the fixed event time and any recipe-specific time or temperature intact. Move, delegate, simplify, or drop lower-value setup work instead of shortening food-safety or recipe steps.
Can I adapt this sheet to a different party format?
Yes. Replace the anchor times, cross out phases that do not apply, and keep recipe-specific timing separate. The sequence is a planning frame, not a fixed event script.
