Game Day Kickoff Timeline Printable

Plan backward from kickoff so seating, screen, first food, drinks, and kitchen cleanup are ready before the game starts. Fill in the top fields for “Kickoff”, “Guest arrival”, “Guest count”, and “Halftime refill?”, then use the 2-page timeline to work through the “Day Before”, “90–45 Min”, “15 Min”, and “Halftime” blocks in order. Keep it beside the day-of plan so a delayed task can be moved, delegated, or dropped without rewriting the entire event.

Anchor the fixed times first

Fill in “Kickoff”, “Guest arrival”, “Guest count”, and “Halftime refill?” before you assign tasks. Those anchors make it obvious which jobs can move and which ones cannot.

Move from Day Before to 90–45 Min

The “Day Before” block covers “Confirm screen / audio”, “Move make-ahead prep earlier”, and “Chill drinks”. Then use “90–45 Min” for “Finish hot anchor by recipe”, “Set first food wave”, and “Open drink station”. Keep recipe-specific times and temperatures unchanged even if the written schedule slips.

Use Halftime as the final control block

Before the event moves into its next phase, scan “One planned refill”, “Clear empties”, and “Reset napkins / water”. Cross out optional work that no longer fits instead of creating a second last-minute plan.

FAQ

Using this printable

What should I fill in first?

Start with the “Kickoff” and “Guest arrival” fields. Then move into “Day Before” so every later task is anchored to the event clock you are actually using.

What if the schedule slips?

Keep the fixed event time and any recipe-specific time or temperature intact. Move, delegate, simplify, or drop lower-value setup work instead of shortening food-safety or recipe steps.

Can I adapt this sheet to a different party format?

Yes. Replace the anchor times, cross out phases that do not apply, and keep recipe-specific timing separate. The sequence is a planning frame, not a fixed event script.
