Keep the evening flexible with a few anchors for arrivals, food, introductions, dessert, and goodbyes instead of a minute-by-minute program. Fill in the top fields for “Start”, “End”, “Guest count”, and “Anchor moment”, then use the one-page timeline to work through the “Arrival”, “Middle”, and “Close” blocks in order. Keep it beside the day-of plan so a delayed task can be moved, delegated, or dropped without rewriting the entire event.

Anchor the fixed times first

Fill in “Start”, “End”, “Guest count”, and “Anchor moment” before you assign tasks. Those anchors make it obvious which jobs can move and which ones cannot.

Move from Arrival to Middle

The “Arrival” block covers “Greet + point to coats”, “Show drinks / food”, and “Make first cross-group introduction”. Then use “Middle” for “Watch food / water once”, “Use optional anchor if energy dips”, and “Bring dessert out when natural”. Keep recipe-specific times and temperatures unchanged even if the written schedule slips.

Use Close as the final control block

Before the event moves into its next phase, scan “Signal last food / drink refill”, “Help with rides if relevant”, and “Collect valuables / gifts”. Cross out optional work that no longer fits instead of creating a second last-minute plan.
